Our client, a law firm, is seeking a Legal Executive Assistant in its NY office. The ideal candidate will have a positive, proactive, service-oriented approach, the ability to work with a range of people, and high attention to detail and standards. This position requires thorough knowledge of all firm administrative processes, IT systems, and research tools. The scope of responsibilities includes prioritizing, managing, and following through on multiple projects, and communicating effectively and professionally with clients, attorneys, and staff. A passion for supporting an office and a team of busy professionals will serve this person well in this role.

Responsibilities:

  • Maintain attorney calendar, including scheduling appointments within the office and any necessary travel arrangements
  • Track and file client documents and contact information
  • Enter disbursement information into tracking software
  • Draft and edit letters, retainer agreements, and other basic legal documents
  • Assist with contacting clients and opposing counsel to coordinate conferences and calls
  • Organize and maintain case files
  • Partner with billing team to assist attorneys with reviewing and editing prebills
  • Conduct basic legal and internet research using CourtLink, PACER, Bloomberg, and Westlaw
  • Maintain organized files for attorney bar memberships and reimbursements
  • Confirm and track attorney memberships for various associations
  • Attorney time entry
  • Personal tasks as needed
  • Proactively assume other duties as

Qualifications:

The successful candidate will have a combination of employment, educational, and life experience that demonstrates the qualities and skills below:

  • Education and Experience: You have a minimum of 3 years of relevant experience in a law firm setting. You are proficient in Microsoft Word, Excel, and
  • Confidentiality: You must be able to adhere to Firm policies regarding the protection of confidential data and demonstrate sensitivity to (and good judgment in connection with) confidential attorney, personnel, and Firm
  • Clear Communication and Attention to Detail: You have excellent written and oral communication skills, interpersonal skills, and a pleasant, professional telephone manner. You proactively communicate the status of your work and share updates with colleagues when necessary. You ensure that your work is mistake
