Position Summary:

The Senior Maintenance Officer (SMO) works as part of a team and has responsibility for ensuring tenants receive a high standard of service with respect to their communities'

and homes' maintenance and repair needs. The SMO engages effectively with tenants and tenant groups ensuring that MHI policies are communicated to tenants and that


communications from tenants related to their homes' maintenance and repair needs are acted upon appropriately.

The SMO works to ensure the sustainability of MHI property. Striving to respond to repairs request according to the agreed service standards. An essential tool and success metric for the day-to-day work of the SMO is the use of the maintenance management technology.

The SMO is required to be engaging and directing contractors and other temporary staff in routine maintenance and repairs. Conducts inspections of MHI properties, including those relating to turnover of units.

Responsibilities

This is not an exhaustive list.

In conjunction with the Facilities Manager, ensures an intermediate and term life cycle maintenance program is in place across MHI communities.

  • Identifying potential capital projects, in particular extensive unit turnovers and preparing estimates of costs and benefits of same
  • Preparing inspection reports from tenants for major re-decorating and share with the FM and Tenancies Manager
  • Ensuring the completion of unit inspections (Pre-Move Out, Pre-Move In, housekeeping, damages, etc.), and elaborating on the repairs or actions required and performed, including charges to tenants.
  • Receiving requests for repairs within established guidelines. Consulting with the FM on whether to proceed with requests for maintenance improvements, e.g. replacing carpet with tile flooring.
  • Advising tenants on maintenance issues.

Performs general demand maintenance and repairs by:

  • Repairs to plumbing fixtures and systems - blocked toilets and drains, broken or damaged components, etc. including installation of new equipment as required
  • Minor electrical repairs or modifications to standard household wiring and fixtures in accordance with safe practices and the electrical code
  • Servicing mechanical & heating equipment & systems - thermostats, valves, pumps, etc. to ensure optimal operation
  • Monitoring and adjusting, when appropriate, the building systems (HVAC, life safety, etc.) and reporting any problems to the office or contractors
  • Repairs to, or installation of, interior wall and floor finishes and cabinetry;
  • Minor carpentry and masonry repairs on building exteriors
  • Repairs to, and replacing, locking systems and devices
  • Cleaning as required to refurbish apartments or common areas.
  • Working with handheld technology to track daily tasks and payroll information. Provides information and resource services by:

  • Initiating work orders on handheld device and providing written description of work completed
  • Observing and reporting on the state of repair of various elements of MHI

properties

  • Estimating material and labor requirements for proposed work
  • Maintaining the lock and key storage system
  • Keeping informed of other relevant regulations as outlined in the building, property standards, and fire safety codes
  • Assisting in maintaining an inventory of equipment and stored materials

Monitoring contractor activities within MHI communities:

  • Overseeing the execution of all contracted services across MHI sites and ensuring contractors ensuring adherence to agreed service level agreements and escalate all non-compliance appropriately.
  • meet all required standard health & safety practices, regulations and service level agreements in conjunction with the FM.
  • Costing and purchasing material, services, and equipment as authorized.
  • Be prepared to carry an after-hours phone, and respond to after-hours emergency maintenance calls

Performs other duties as requested by the management teams and performs other duties as required.

Education and Experience

Minimum education, qualifications and experiential requirements.

  • Secondary School Diploma –or Equivalent
  • 3 years of relevant experience with property maintenance, or equivalent demonstrated work experience is expected (demonstrated general maintenance skills, carpentry, cabinetry, plumbing, electrical and mechanical, as well as troubleshooting and on call experience)
  • Trade certification in a relevant field is an asset
  • Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements
  • Must be able to work and problem solve in adverse conditions, including poor weather, poor physical environment, with upset tenants in attendance, and while overtired.
  • History of continuous updating of job knowledge especially with respect to code changes and technological advancement, for building systems and construction methods through workshops, conferences, seminars, self-study
  • Valid Ontario Class G Driver’s License and reliable vehicle
  • Reasonable fluency in written and verbal English. Other language skills are an asset, and preference will be given to reasonable fluency in verbal French
  • Knowledge of Yardi Voyager is considered an asset.

Supervision and Decision-Making

  • Considerable decision-making applies to the performance of tasks, involving the

manipulation of several moderately complicated variables. Processes are supported by numerous, well-defined methods and established procedures.

  • Responsible for providing direct day-to-day coordination for standardized tasks also checks and maintains workflow. Recommends new or changed policies and procedures for approval by others; Impact to tenants and reputation if errors are made; and
  • Frequent use of confidential information.
  • No direct report for supervision

Working Environment

  • Mental fatigue resulting from actively investigating, diagnosing, trouble shooting, problem solving, managing competing time demands, prioritizing work, occasional working while sleep deprived and under other adverse conditions
  • Physical fatigue resulting from frequent driving, physical labor, walking, standing and lifting moderate weights.
  • Physical Environment: Interior and exterior work in all weather conditions; frequent exposure to driving in all weather conditions and being exposed to unsanitary conditions, noise, dust and fumes.
  • Stress Environment: Regular exposure to adverse conditions such as dealing with verbally abusive and potentially dangerous people.
  • Interaction with external contact involves dealing with extremely demanding interpersonal situations, including the de-escalation of potentially violent situations.
Work may be a little uncomfortable and may lead to minor injury or illness. Some exposure to unpleasant working environment including construction, noise, dust, pests and potential biohazards, which could lead to injury of illness.
