Our client, a department in the federal government, is seeking an Executive Assistan to join their team on a full-time, in-office basis in Ottawa, ON. To be considered for this position, you will need 5+ years of experience in administrative roles. Keep on reading to learn more.

  • 5+ years of experience in administrative roles.
  • Availability to work in office Monday to Friday from 8am to 4pm.
  • Intermediate Language Proficiency for French, as defined in the Temporary Help Services Language Proficiency Grid.

About the role
If hired, you will:

  • Manage the daily office operations and coordinate agendas and calendars for senior staff.
  • Coordinate meetings, conferences, workshops, and seminars, arranging for facilities, equipment, and services.
  • Make travel reservations, develop itineraries, and prepare travel expense claims.
  • Compose, edit, proofread, and finalize a wide range of correspondence and materials to reflect senior staff’s preferences.
  • Read incoming correspondence and flag items of importance or prepare summaries.
  • Edit, proofread, and finalize correspondence, reports, statements, invoices, forms, presentations, and other documents.
  • Create and present a variety of reports and record meeting minutes.
  • Perform document and file management functions, including e-filing, routing, and tracking items for review or signature, to and from the office.
  • Coordinate the preparation of documentation in support of HR service requests and staffing actions.
